Meridian integration

Organizations that use both Meridian (Accruent's engineering document management system) and Maintenance Connection can view and annotate asset and work order documents in Meridian directly in applicable Attach pages in MC. You can also upload documents stored in Meridian that are associated with asset and/or work order records.

Meridian documents in MC

Go to an applicable Attach page in Maintenance Connection and select a Meridian-sourced document to view and annotate it. To maintain Meridian as the single source of truth for documents it sources, these documents can only be edited in Meridian. Once updated in Meridian, the integration syncs the corresponding document record in MC and gives the document a new version number.

Upload documents in Meridian to the Main Application (MRO)

  1. Navigate to the desired asset or work order record in their respective modules.

  2. Select the Attach tab and then the Documents sub-tab.
  3. Click the Meridian Upload button.

    You are navigated to the Meridian application, displaying the Import Documents dialog box.

  4. Drag and drop files into the Import Documents dialog box, or click the Add button to add documents to the dialog box.

    The added documents appear in the dialog with a check box selected next to each document.

    You can also Synchronize references from files, which creates links in the Meridian database if physical references to other files in the vault are present.

  5. Select one of the following options:
  • Click Add to add additional documents to the Import Documents dialog.
  • Click Remove to remove all selected documents from the Import Documents dialog.
  • Click Cancel to cancel the upload process.
  • Click Next to continue to the next step to upload all selected documents.

    After making this selection, a dialog opens in which to configure Meridian details for the documents being uploaded.

  1. Configure the Meridian details for the documents being uploaded.
  2. Click Finish.

    The documents are uploaded to Meridian and are associated with the asset or work order record from which you initiated the upload process.

Meridian document version snapshots

For compliance purposes, you might need asset documents to remain unchanged in relation to a work order once they are associated with it. You can set up a preference in Maintenance Connection to take a snapshot of the version of a third-party document at the time of work order creation or issue. This ensures the binding aspects of the document remain what they were at the time you began fulfilling the work order, even if the document is updated afterward.

If you remove an asset from an open work order (not closed, canceled, or denied) and then add another asset (or reattach the original asset), the work order reruns the version snapshot to ensure the proper document version is associated.

Document Details, as well as applicable Attach pages, also include Document version. It is uneditable for Meridian (externally-sourced) documents, but editable for documents sourced in Maintenance Connection.

Meridian as single source of truth

You can't add or remove asset associations for Meridian (and other third-party) documents within Maintenance Connection. This ensures the third-party document platform remains the single source of truth for the external document and keeps documents in sync between MC and the third-party platform.

Documents > Related Info > Assets disables the Add and Remove options for externally-sourced documents.

Assets > Attach > Documents also prohibits you from adding externally-sourced documents directly to assets.
